School Administrative Executive
About the Role
The School Administrative Executive provides comprehensive administrative support to the Dean and serves as a key liaison between various schools, departments, and learners. This role ensures the smooth operation of academic and administrative processes, including documentation management, exam logistics, committee coordination, and student support. The position requires strong organizational, communication, and interpersonal skills to maintain efficient workflows and uphold university standards. The School Administrative Executive plays a vital role in facilitating academic operations, supporting faculty and learners, and ensuring compliance with institutional policies and procedures.
Key Responsibilities
- check_circle Maintain accurate filing and documentation of all school records, including course syllabi, exams, accreditation reports, and assessment forms.
- check_circle Provide secretarial support to School Councils, Advisory Boards, Grade Appeal Committees, and Examination Committees by preparing agendas, taking minutes, and following up on action items.
- check_circle Ensure updates to course syllabi and learning outcomes are accurately reflected in the CurrIQunet system prior to each semester.
- check_circle Coordinate midterm and final exam logistics, including classroom reservations, invigilator assignments, exam guidelines, and grade moderation processes.
- check_circle Manage absence lists and ensure proper documentation for learners with excused absences or incomplete exams.
- check_circle Assist with practicum and internship processes by helping learners secure placements, validating organizations, and maintaining internship records.
- check_circle Compose and format official documents, letters, emails, and academic calendars in compliance with university policies.
- check_circle Organize and coordinate school events such as faculty and learner orientations, ensuring all logistical arrangements are completed.
- check_circle Provide day-to-day administrative support to faculty and learners, addressing inquiries and ensuring compliance with university guidelines.
- check_circle Adhere to information security, health, and safety regulations and perform other duties as assigned by the line manager.
Qualifications
- check_circle Bachelor’s degree from an accredited university.
- check_circle Minimum of 2 years of experience in administrative or academic support roles.
- check_circle Proficiency in computer applications and office software.
- check_circle Excellent communication skills in both Arabic and English.
- check_circle Strong organizational and time management abilities.
- check_circle Ability to prioritize tasks and work effectively under pressure.
- check_circle Demonstrated customer service orientation and emotional intelligence.
